Job Description

The ILM Artist Department Coordinator reports to the Artist Department Manager, and works closely with the Production Managers and Support Departments to coordinate the division.

Runs Future Show Scenarios in Bodycast
Occasionally Acts as Production Coordinator if needed
Updates BodyCast with PMs’ Schedules, and Points out Conflicts
Liaises with PMs on Crewing Requests
Confirms and communicates the artists schedules (start and end dates) to them
Updates San Francisco CG Dept Managers on Capacity Requests
Updates various databases and tracking systems
Point person for new artist hires in terms of confirmation of start dates, overseeing facilities location set-up, and working with Training Department to determine training needs
Writes Probation Review – with feedback from Leads and Production
Coordinates Annual Performance Reviews Process for artists
Assists in End of Show Reviews
Assists in Show Post Mortem Process
Training – Provides Artist schedule updates, Coordinates Classes, Teachers, Lectures with Training
Coordinates and Updates Annual Traveler List and Travel Database
Manages Timecard updates – Checks and confirms the task code for all artists on OH
Tracks the progress of all external apprentices, trainees and artists through various Jedi Masters Program classes and workshops.
Tracks the progress of all internal artists through various Jedi Masters Program classes, workshops and artistic development classes.
Collects and organizes assessment information for all trainees, trainers and courses.
Creates reports summarizing the assessment of trainees, trainers and courses.
Partners with LAS Recruiting and LAS Communication departments to publicize the Jedi Masters Program and to bring the recruiting message to qualified applicants.
Partners with local schools to recruit educators to attend various Jedi Masters Program Classes for Masters.
Partners with LAS Recruiting, HR and Production departments to assist with the placement of successful apprentices at LAS.
Serves as a liaison between trainees and the training staff, observing and communicating training needs and feedback to the Director of Training.
Works with the Director of Training to direct the daily activities of the department interns and participates in the recruitment of department interns.
Assist with informational presentations about the Jedi Masters Program at various schools, conventions and outreach events.
Performs miscellaneous job-related duties as assigned.

Requirements

Bachelor’s degree required plus 1 to 2 years of related experience. Familiarity with film, animation or video game production required.
Must be computer literate, with strong MS Word, Excel, Outlook and Filemaker Pro experience.
Exceptional organizational skills, strong attention to detail, and the ability to prioritize and handle multiple tasks.
Interest in film and animation required.
Excellent communication skills and the ability to interact well with diverse personalities.

The Production Assistant will provide overall administrative support for all departments.
Provides administrative support and back-up support to the production team that ensures all production events are smooth, efficient, well run and professional.
Assists with Episodic Script Breakdowns.
Assists in populating internal production/creative tracking system with asset naming conventions and other pertinent data upon the approval of the Episodic Script Breakdowns as needed.
Schedules and organizes meeting for various departments.
Researches and gathers materials and information necessary for the preparation and execution of the production processes, such as preparing all paperwork and setup required for turnovers/kickoffs internally and overseas AND prepping Review Sessions for Script, Design, Assets, Story, Animation and Lighting.
Types meeting notes, memos, documents and schedules as required
Photocopies and Scans images/reference/schedules and filing as required.
Uploads and downloads images from Conduit/Transfer Folders if necessary.
Prepares routine correspondence and forms. Packages, ships, and tracks electronic files and deliverables.
Assists with food service and catering set up.
Completes special projects as needed or requested.

Requirements

2 years of experience in Production minimum, preferably in animation.
Requires excellent administrative skills, including word processing, strong working knowledge of Word, Excel and Outlook. Project Management software experience preferred.
Capable of working independently and as part of a team. High level of initiative, flexibility and confidentiality.
Strong attention to detail, time management, and follow up/follow through skills required.
Ability to establish priorities and multi-task efficiently within a high-pressure, fast paced environment while meeting strict deadlines. Ability to work in a start-up environment that has a certain degree of ambiguity.
Bachelor’s Degree in film, art, communications or related filed preferred.
