Job Description

Company: Lucasfilm Animation Company Singapore

Provide travel-related services to all of LAS bookings of flights, accommodation, etc and provide immigration administration support. Provide project coordination/scheduling, communications, and general administrative support to General manager as and when needed. Purchasing duties will include conducting vendors review, analyzing areas for cost improvement, engage in vendors negotiation and proper documentation of paperwork.

Travel Services & Accommodation

o Handle travel-related bookings (flights, hotels, changes, etc) and accommodation according to company policies
o Liaise with travelers on their flight and hotel bookings
o Tracking of all travels and filing of all documentation
o Travel-related briefings (immigration processes, customs questions, etc) to travelers and studio (where needed)
o Main contact person for company travel insurance
• Immigration Administrator
o Liaison between employees and HR Representatives to obtain the necessary paperwork for Visa authorization for work related travel overseas
o Coordinate and hand deliver of immigration-related documents to employees prior to travel
o Participate in regular Immigration call with the Lucasfilm US Immigration representation as needed
o Filing of Immigration materials in specific folders

Purchasing

o Handle the relevant purchase requisitions from the different business units and analyze the area for cost improvement
o Review and negotiate with the vendors for cost containment
o Continuously review and improve on the quality of the purchases
o Provides purchase planning and control information by collecting, analyzing, and summarizing data and trends.
o Obtains requirements by verifying, preparing, and forwarding Purchase Orders;
o Preparation of Purchase Request
o Facilitate IT software evaluation and purchase with the US Business Affairs team
o Maintain detailed records of the IT purchases by production and categories; keeping track of hardware and software maintenance and licenses
o Work and coordinate with the US counterparts to execute global agreement for purchasing activities

Others

o Provide analytical data on trends to Management, as needed.
o Prepare and maintain workflows, processes and standard operating procedures documentation

• Minimum qualifications : Diploma from a recognized educational institution
• 3 years experience in administration role / HR coordination, immigration or travel booking/handling experience required.

Technical Skills:

• Fluent in Microsoft Office (Excel, Word, PowerPoint)
