Mr. X Inc Recruiting Office Admin/Receptionist
Act as the Main Office Administrator – reception, mail management, sending/receiving courier packages, Client relations, etc.
Maintain company directories with current contact information, phone extensions, etc.
Travel Coordination – includes; booking flights, hotels, long stay accommodations, preparing travel itineraries, arranging taxis, and so on.
Event planning for wrap parties, movie days and other company events.
Organize the RMT visits.
Expense tracking and submission using Concur.
Assist with the Joint Health and Safety Committee.
Manage office supplies inventory, including stationary, kitchen supplies, light bulbs and so on.
Oversee current security/key fob system, sign in guests and manage visitor NDAs
Regular inspection of Mr. X space for cleanliness and organization.
Liaise with external vendors (e.g. building management, caterers, etc.)
Obtain purchase quotes as assigned by the Operations Manager
Other duties as assigned.
2+ years previous office experience required
Professional and friendly phone manner
Good time management skills, with the ability to multi-task and stay organized
Ability to work effectively with regular to frequent interruptions
Excellent verbal and written communication skills
Ability to exhibit a strong sense of confidentiality, professionalism and discretion
Ability to exercise sound independent judgment and to analyze and resolve problems
Strong skills in Excel, Word, Internet & a capacity to learn new systems quickly
Must be able to work independently with minimum supervision and direction
